Starting points and guiding principles

To manage the right expectations regarding the temporary housing, we - together with the administrator of The Monastery + the Board of the Association - have established the following guiding principles/principles.

  1. Management of the temporary housing will go through the current manager.   
  2. The municipality will enter into a new temporary management agreement with the manager of The Monastery.  
  3. The municipality concludes new temporary rental agreements with the users of The Monastery. The temporary housing will be a location for multifunctional use. There will be a limited number of lockable rooms (in connection with the storage of valuable inventory). All other spaces will become multipurpose rooms that can be reserved by different users during the day/week.
  4. The Monastery Temporalis allows accessibility for visitors between 08:30-23:00 Monday through Friday, but is closed during school vacations. 
  5. We assume as much as possible the self-reliance of the users of The Monastery.  
  6. The users of The Monastery are responsible for their own (re)relocation.Large inventory, such as furniture and pianos, are moved centrally. 
  7. We go for "frugal but efficient" (we do what is necessary).   
  8. Because of the temporary situation, we are going for reuse of all contents/inventory.   
  9. The Monastery must be delivered empty by June 1, 2024. 
  10. The municipality provides the temporary housing as it currently stands (no more/less).    
  11. No architectural adjustments will be made, no specific provisions will be made for the users of the monastery and no furnishing costs will be incurred by the municipality. Should adjustments be necessary/wanted, the municipality must give its prior approval. The costs will be borne by the users.We are still determining which basic facilities are present and can be used.  
  12. To avoid possible noise pollution to nearby residents, no large-scale parties, parties, performances, coffee tables, outdoor activities and/or events will take place. 
  13. The temporary housing does host council meetings and public participation evenings. 
  14. Parking is allowed only on private property.

Questions and answers about accessibility, outreach and safety

What are the arrangements for fire safety and in-house emergency response (FAFS)? 

  • Should the fire alarm go off, it is especially important that everyone flees outside as quickly as possible to the central assembly area (= the courtyard at the front of the building). People's safety always comes first. 
  • There are fire alarms, fire extinguishers and fire hose reels everywhere. 
  • There is an evacuation chair that allows disabled people from the 1st and 2nd floors to be brought down quickly. 
  • There is a stretcher on the first floor (next to the kitchen), an AED is available + first aid kits. 
  • An administrator is always present in The Monastery Temporalis building during business hours (from 08:30-23:00 on weekdays). 
  • FAFS officers are always present in the building. All of the administrator's staff is FAFS trained.  
  • If something is organized by an association/organization, the organizer is responsible for arranging FAFS (on top of what the administrator does about FAFS).
  • A FAFS/evacuation drill is organized once a year. Part of the FAFS training includes switching off the elevator + AED use + operation of the fire alarm system (BMI).
  • Evacuation plans are posted everywhere + an evacuation plan is in place. 
  • When reserving spaces, we always take into account the maximum number of users who may be in the building at the same time.
  • An unannounced evacuation drill will take place in May. This is a good exercise for all users and the FAFS organization. 

Is there camera surveillance and/or surveillance in place?

Yes, there is camera surveillance in The Monastery Temporalis.

What are the opening hours of The Monastery Temporalis? For example, is there a summer closure? 

The Monastery Temporalis is open weekdays from 08:30 to 23:00. The Monastery Temporalis closes twice a year and that is during the summer vacations (July 13 to August 12, 2024) and during the Christmas vacations (Saturday, December 21 to January 6, 2025). Occasionally an activity can be organized on weekends without noise disturbance. Please note that this means that the organizer must pay for the use of the manager. 

Will the gate of The Monastery Temporalis close after 11 p.m. during the week? And who will do that?

Yes, the manager closes the gate at night.

Can we get a permanent access key + 24/7 access to The Monastery Temporalis (= out of hours)? 

  • Except for the manager and the LON, no one has a permanent access key. This, because of insurance, alarm and because we don't want people wandering around the building at night/weekends. 
  • Keys to the locked rooms are with the manager and can be picked up there.
  • Should it be occasionally necessary to gain access to The Monastery Temporalis outside business hours, the administrator should be contacted. 

Where can we park our bikes?

There is an open bike shed at the back of the building. This may only be used during the day (to avoid possible noise pollution to nearby residents in the evening). In addition, there are about 140 bike racks at the front of the building. These can be used during the day and in the evening.

Is it possible for local residents to use the parking lot to the left of The Monastery Temporalis?

Subleasing the parking spaces is our preference because it generates additional parking revenue. The gate closes at night.

How is access control going?

If you arrive and leave at The Monastery Temporalis, you must always report (individually / the representative of the organization) to the reception desk where the manager is present. You can sign in and out by indicating your name, organization and time (of arrival and departure) on the attendance list present at the reception desk. We do this for your safety (e.g. in case of emergencies and the closing of the building), so that the manager always knows who is present in The Monastery Temporalis at any time.  

What about parking?

To the far left of The Monastery Temporalis, is a very large parking lot intended for able-bodied visitors. We hope you will consider this so that we can keep the parking spaces immediately around the building available for disabled visitors. There are 4 disabled parking spaces.

How do visitors know where to go in The Monastery Temporalis?

At the main entrance there is a TV screen showing the online reservation system. This shows the schedule for that day (= user per room + time from what time to what time). In addition, plastified maps hang throughout the building so visitors can see where they need to be.

How is the security/alarm and fire alarm system arranged? 

The alarm and control center is housed at B+I. The alarm of the burglar alarm center can be switched on and off per zone. The fire alarm system is connected to an alarm center.

If the (burglary/fire) alarm goes off, the alarm center receives a signal. They first call the administrator. If there is no answer the security department (Van Egdom).

In principle only the manager needs to operate the (fire) alarm. Should it occasionally be necessary to gain access to The Monastery Temporalis outside opening hours, then the administrator should be contacted.



Questions and answers about room rental/reservation

Do users potentially get noise pollution from each other?

When designing all the rooms, we took into account as much as possible the residents and other users on the same floor. This is to prevent possible noise pollution. Practice will show whether users will experience noise pollution among themselves. If this is the case, the manager will work with the user(s) to find the most appropriate solution.

We would like a lockable room (possibly shared with 1 or 2 other users) in connection with storage of valuable inventory and/or materials. Is that possible? 

  • Both in The (renovated) Monastery and in The Monastery Temporalis, we are going to use multifunctional spaces as much as possible. These will not be closed and can be reserved by multiple users during the day/week. This, in order to get an optimal occupation of all rooms. 
  • In consultation, the lockable rooms were determined + who gets the key to which room. 

What are the rental rates per space? 

  • The current monthly rents of the permanent users of The Monastery will remain the same based on actual usage in 2023.
  • The moment users start reserving spaces more frequently than based on 2023 usage, they will pay extra for it = hourly rents per m2 below.
  • The spaces are rented without VAT because the municipality also rents the building VAT free.
  • Commercial rent is €1.50 per hour per m2 (incl. GWL), with a maximum rent of €75 per hour.
  • The social rent is €0.50 per hour per m2 (incl. GWL), with a maximum rent of €50 per hour.
  • The social/commercial rental rates per space per hour are in the AQQO online reservation system.
  • For new permanent tenants (= tenants who want to rent a space at fixed times for at least a year) we make separate rental agreements.

How does the online reservation system at The Monastery Temporalis work?

  • In the online reservation system Aqqo(https://www.aqqo.com), the 2024 roster has been adopted from all users. 
  • In it we take over the 2024 roster from all users. Then we immediately see what bottlenecks there are and/or need to be shifted in terms of spaces.
  • During the week, users can reserve any multi-purpose room that is free at that time and appropriate for the size of the party and its use.  
  • We strive to have a real-time understanding of the actual usage of all spaces and try to maximize occupancy. 
  • As part of security policy, you are required to inform the administrator of the nature, scope and content of your activities. It is at our discretion whether we require the purchase of additional insurance for this purpose.
  • All reservations and/or services are subject to the cancellation policy, general Requirements and house rules of The Monastery Temporalis.
  • All contacts listed in AQQO will receive an email containing login information. 
  • Only the contact person who submitted all reservations to the administrator can view all bookings for their own association/organization. 
  • Should you wish to use a shared email address so that multiple people can view reservations? Does your contact have a question about a reservation or does something need to be changed? Please email info@kloosternuenen.nl or contact the administrator.    
  • Please also check the accuracy and completeness of your association/organization's contact information (or update it if necessary). 
  • It is possible for all users to see the schedule of all rooms. In other words, which rooms are reserved/free at any time of the day? 

How can we reserve a space?  

  • Every user can see the availability of all rooms online in AQQO. 
  • The administrator can then be contacted (by phone or email at: info@kloosternuenen.nl) 
  • For each room, the maximum number of users is determined for fire safety reasons.  
  • The administrator is the one who assigns and confirms spaces. This, to prevent users from signing up for a larger space than strictly necessary, preventing a user with more people from being able to attend. 
  • For additional reservations (on top of the current roster in 2024), reservations can be made for 3 months in advance.  
  • The Council Chamber can only be reserved on an occasional basis (subject to the council not needing the space).  
  • If a reservation is cancelled within 24 hours before the start of the booking, 100% of the cost will be charged.
  • It is prohibited to use the space as housing, sublet the space to third parties and/or to store prohibited substances or the like. 
  • If we suspect that activities are taking place in the space that are not permitted, we as the landlord may enter the space to check. We will then notify you of this 

Can we also rent a space for our band "The Barrels" (= from the Nuenen men's choir) + if so, what will be the rental price? 

There are several multi spaces that can be rented at a commercial/social rental rate per hour per sq. ft. 

Can we also rent a space for the Pieter Fitters annual concert in Oct/Nov (expected attendance: >250) + that drinks will be served afterwards? If not, will the municipality compensate us financially if we have to move to another more expensive venue?

No, unfortunately this is not possible. The guiding principles and starting points state that no large parties/events may take place in Het Klooster Temporalis (due to possible noise pollution for local residents). Therefore, another location will have to be found. These costs will be for your own account. 

Can we also rent an enclosed storage unit per month? And if so, what is the rent?

What does the municipality understand by commercial rental versus community rental? 

Currently, we operate under the following premise: social tenants are not for profit organizations and any value development/profit is used entirely for the social purpose and remains in the organization. Commercial tenants are for-profit businesses.

Is there a policy regarding who is admitted as a new tenant in The Monastery Temporalis? 

At this moment we apply the following principle: social rental comes before commercial. We therefore warmly welcome social tenants who might also be able to move into the renovated Klooster. For other parties, we make an assessment at any time.

We want to rent a space as a new (sub)tenant. Is this possible?

Yes, this is possible under a number of Requirements:

  • The subtenant is responsible for a number of things. These matters are included in the temporary lease.
  • It is up to the municipality to make a balancing of interests at any time as to who will sit where in The Monastery Temporalis (e.g., at the time that Service Dommelvallei comes to sublease).
  • The sublease ends after the end of the lease that the municipality has entered into with the owner of the building (= end of 2026).
  • The subtenant, like all other tenants, must adhere to the guiding principles, principles and house rules. For example, no outdoor activities may take place in order to avoid noise pollution for local residents.
  • Charges for gas, water and light are included in the rent.


Questions and answers about furnishings & decorating

What happens to the cleaning?

All open areas must be left clean and tidy by each user. This includes: putting furniture back in its original place, clearing empty containers, cups/dishes/ plates/cutlery/other loose items + removing materials you have brought with you. In addition, trash cans should be emptied. If a user has trash, please deposit it in the containers provided. The administrator can show where these containers are located.

The administrator cleans all open spaces on average once a week. Spaces that are not reserved/used during the week are cleaned once every 2 weeks. Spaces that are frequently reserved/used during the week are cleaned 2 times per week. Sanitary facilities are cleaned daily.

The enclosed spaces must be kept clean by the user(s) with key. This cleaning can also be purchased from the manager. 

Are there trash containers at The Monastery Temporalis + who will come to empty them when? 

Users of The Monastery Temporalis can use the roll-off containers that came with them from The Monastery. These will be emptied regularly. The 2 underground waste bins that are now (still) in the courtyard of The Monastery Temporalis may not be used. 

Is it possible to cool/heat each room separately?

Yes, there are two central heating systems in the building (left and right) that control the temperature for each separate room.

What will be done with the art in The Monastery?

We have had the art in the Monastery inventoried by Kunstloc. Based on their recommendation, we will have artworks returned to the renovated monastery or artworks will be returned to the artist (or heirs of the artist) 

What will happen to the big linden tree in The Monastery?

We are discussing this with the owner (Fons Linders). 

Is there an Internet connection available in The Monastery Temporalis that can be used?

Yes, in The Monastery Temporalis there is an open wifi network accessible to all visitors and tenants. This is the wifi network "Temporalis". The password is "Pinckart."

As a tenant, we would like to connect our own internet and phone services. Is this possible?

It is possible for tenants to connect their own Internet and telephone services in their own space. For this purpose, IT Pro can be engaged to provide support. However, please note that the cost of engaging IT Pro and any installation costs are at your own expense.

Will The Monastery's patch cabinet be moved to The Monastery Temporalis?

No. We will keep the current patch cabinet in The Cloister intact, before, during and after the renovation. Even after that, the patch cabinet will not be moved with us, because Het Klooster Temporalis has its own patch cabinet. 

Can we bring our own fixed kitchen equipment (e.g. dishwasher/fridge) and have it installed in The Monastery Temporalis building?

An inventory of what fixed kitchen equipment needed to be installed was previously done. This has now been done and completed. 

May modifications be made to the rooms (e.g. add electrical outlets / remove suspended ceilings due to improved acoustics for singing and music societies)? If so, who will bear the cost?

No architectural and/or technical modifications may be made by the users without the approval of the municipality. In fact, the municipality must also seek approval from the owner of the building for this. Moreover, there is a good chance that we will have to reinstate adjustments when the lease expires. All costs will be borne by the user(s) anyway. See the guiding principles and principles for this.

Experience has shown that a suspended ceiling has a dampening effect; without a suspended ceiling, you look at the concrete and it reverberates more. Current ceiling tiles can be replaced with acoustic ceiling tiles from Rockfon. Ceiling should be restored if it is removed.

Are electric charging stations available?

Yes, these are in place. If desired, the municipality can contact Shell Recharge to request management of these charging stations. 

What happens to the green maintenance, window cleaning + paving cleaning? 

The municipality carries Health for periodic maintenance of the greenery, glass washing and scrubbing of the pavement.

If too many residents are expected at a Council meeting, is there any way to divert to another location?

Yes, we can. We can possibly go to a sports hall in Nuenen or ask municipality Geldrop-Mierlo/Dienst Dommelvallei if we can use their Council Chamber. Moreover, the broadcast can be watched via live streaming. 



Questions and answers about the move

When exactly will the move take place?

  • The central moving week to The Monastery Temporalis is now over.
  • As of April 29, the manager will only be present in The Monastery Temporalis (except for the moving/demolition days of the Council Hall, Theater Hall, Rabo Square + kitchen + the theater performances still taking place in May).
  • The last council meeting in The Monastery will take place on April 18. The Council Chamber move will take place after that. Starting May 15, council meetings, judgment and image-forming evenings will take place in The Monastery Temporalis.
  • Demolition of the Theater Hall + Rabo Square + kitchen + counter will take place on Thursday, May 30 and Friday, May 31.

Other questions and answers

What to do about insuring all contents?

All users are responsible for insuring their own contents.

How do the coffee, tea and soft drink facilities work?

  • You are not allowed to bring and/or consume your own beverages.
  • However, food may be brought by the users themselves.
  • Food preparation should always take place in the kitchens for fire safety reasons. 

Who gets to use which kitchen?

  • The kitchen on the first floor (next to Discovery) is used by the administrator and Senergiek. 
  • The kitchenette on the first floor (next to André Rieu square) and the 3 kitchens on the second floor may be used by all users. 
  • The kitchen on the 2nd floor is used only by the manager.

Men's choir: is it possible for drinks to be served on the 2nd floor after our activities (e.g. coffee / tea / soft drinks / beer)? As this is essential for our bonding and togetherness.

Arrangements can be made with the administrator about this.

Monastery Temporalis is located at a bottleneck of a busy road with bike lanes. What about accessibility and traffic safety especially for cyclists and other traffic? For example, the dance schools have small children who are brought or they come independently by bike. 

At the beginning of the street hang a sign with an arrow pointing left, since this is the most quiet road to enter. Communicate further to all users, "If you go by bike, from the center there is a red bike path up to Goossens. After that you can enter the Pinckart business park. Always take the left turn."

What is happening in terms of communication regarding The Monastery Temporalis and The Monastery?

  • A few press releases and Council information letters have now been sent out.
  • All current news is maintained on our website.
  • There will be a newsletter on the Nuenen, Het Klooster website & on social media that members, non-members and residents can subscribe to. This will also be distributed through the Board and administrator. 
  • The LON also pays attention to social media. See its latest video here.  
  • The Communication Department is working on making beautiful communication expressions (e.g. flyers/posters) for in The Monastery. This, so that visitors can easily find The Monastery Temporalis + to get an impression how the renovated monastery will look like. 

How do we handle the mailboxes/letterboxes in The Monastery Temporalis?

  • Items can be picked up from the manager at the front desk.

What about BUMA-Stemra rights in The Monastery Temporalis?

We do not have BUMA-Stemra rights in Het Klooster Temporalis. It is therefore important when using music other than background music in The Klooster Temporalis to apply for your own license from BUMA-Stemra if you do not already have one. The Monastery Temporalis does not assume liability for the consequences of not having a license from the tenant. 

How big is the elevator?

The elevator on the first floor is 1.10 meters wide + 1.425 meters deep and has a maximum capacity of 630 kg.

Will there be an Open Day?

Yes. This takes place on Saturday, June 30 from 12:00-17:00. It is organized by, among others, Kunstkwartier, IVN, De Lindespelers, Jongerenwerk, Atelier Nuenen, UC Dance and Senergiek. Would you also like to participate? Sign up with the manager.
